What to write in a card when your mind goes blank
23 September 2026 · 5 min read
Almost everyone stalls at the same point: the card is bought, the pen is out, and "Happy birthday, hope you have a great day" is all that arrives. The fix isn't better vocabulary — it's structure. Three short moves, and you're done.
The three-line structure
- 1Name the occasion in your own voice: "Forty. Somehow."
- 2Say the specific thing — one real detail from this year, or one thing you admire about them.
- 3Point forward: what you'll do together, or what you hope for them next.
Birthdays
"Another year of you being the person everyone calls first — including me, usually at a bad hour. Thank you for always picking up. Dinner's on me this month." Warmth plus a specific, plus a plan.
Thank you
Say what the gift or help actually did, not just that it was kind. "The casserole meant we didn't cook for three days in the worst week of the year." Effect beats adjective.
Sympathy
Keep it short, avoid silver linings, and use the person's name. "I keep thinking about Margaret's laugh in the kitchen. I'm so sorry. I'll call on Sunday and you don't have to answer." An offer with a specific time is kinder than "let me know if you need anything".
Congratulations and new jobs
Credit the work, not the luck. "Nobody who watched you grind through the last two years is surprised. Completely deserved."
Get well
Light, low-pressure, no questions to answer. "No need to reply to this. Just know the group chat is holding your seat and the standard of jokes has collapsed without you."
Still staring at it? Describe the person and the occasion and let a first draft appear on the card, then rewrite the bits that don't sound like you. Editing is much easier than starting.

Common questions
- How long should a card message be?
- Three or four sentences is plenty. One specific detail is worth more than a paragraph of general warmth.
- Is it too late to send one?
- No. A late card that names the lateness is better received than no card. A digital card arrives in seconds.
- Can I edit the drafted message?
- Yes — tap any words on the card to rewrite them, or write the whole thing yourself.
